Ketch Cloud Inc. (Cookie Consent Management System)- Pilot Implementation Phase

What is the Cookie Consent Management System - Pilot Implementation Phase?
The implementation phase is part of a broader Web Uplift project led by Marketing and Communications in partnership with several ICT teams. The pilot implementation phase only focusses on the delivery of the Ketch cookie banner to five specific websites.

The pilot implementation aimed to:

1. Achieve regulatory compliance with both current international and forthcoming national privacy laws.

2. Establish a repeatable implementation pattern for future enterprise solution across all University digital platforms.

3. Strengthen digital governance and reduce the University's privacy-related risk profile.

4. Leverage insights from this pilot to inform future decisions regarding enterprise-wide solution design and support models.

The implementation of Ketch's solution positions the University as proactive and responsible in managing digital data and privacy rights.

What is Ketch?
The University of Sydney has selected Ketch Kloud Inc. as the vendor to provide cookie consent banners to pop-up when users visit University web pages.
Okta MFA has been integrated with the Ketch solution. This means that users will continue to use their unikey to be authenticated prior to entering web pages that have a cookie banner pop-up.

What has changed?
A cookie banner (i.e. a pop-up message asking user for their cookie acceptance) will appear when a user enters one of the five University web pages with the Ketch solution added (refer to Table 1)

A Beginner's Guide to Workday

How do I approve a change request?

When a change request has been raised and submitted for approval email notifications are sent to all staff who may provide approval for the change request to be implemented.

Guide to manager notifications and approvals in Workday

This guide introduces the notifications and approvals available in Workday. On a daily basis you will receive an email known as a Daily Digest, which summarises all your new notifications and My Task items.

How do I approve a mid-year review submitted by a staff member?

Once you have had mid-year review discussion and your staff member has submitted their mid-year review plan, you will need to review it in Workday. You can ask up to two other managers to review the plan and you can add your own comments in the comment boxes provided. You can approve the plan or send back to staff to input additional information.

A manager should not make changes to their staff members’ mid-year review. If changes are required, send it back to them to make the amendments. If substantial changes are required, we recommend a further discussion too.

If you have a staff member who recently finished Probation or came back from a long period of leave after the Mid-Year Review was released, they will not have a plan appear in Workday. Staff members can set Individual Goals by following the steps in the How to create and edit Individual Goals (Casual Staff, Post-Probation, Returning from Leave) help article. These goals will appear in their Annual Review.

For a video demonstration of this process, please refer to the video at the end of this help article.

What is Research Funding Approval (RFA)?

Research Funding Approval (RFA) refers to an online service encompassing various webforms, some with built-in "workflows" or automated stages, to obtain electronic approvals from relevant authorities from within the University of Sydney to conduct research activities.

The RFA online service is designed to record information about institutional involvement in and endorsement of research activity such as competitive research grants. It is hosted by the university’s Service Portal, and contains within it the Pre-Award Approval Form, the Acceptance Form, the Post Award Approval Form and Head of School Checklists for commissioned research and professional service contracts.

Researchers intending to apply for competitive research grants can begin using the RFA online service by submitting their Pre-Award Approval Form.
