A Beginner's Guide to Workday
Workday is the primary platform to manage your personal information and complete most HR activities and transactions. In Workday you can:
- apply for leave and see leave being taken by team members
- change your contact information
- update your personal information
- view job applications and access the internal Career Site to find jobs and set up job alerts
- view organisational charts and find colleagues across the University.
Any requests (for example, leave requests) are automatically sent to the relevant approver for approval within the Workday system. Please note that Workday does not replace conversations with your supervisor but is there to facilitate HR transactions and to record delegated officer approvals.
The Workday platform has been tailored to University of Sydney processes so if you have used Workday before, you might notice some subtle differences in undertaking tasks.
Please Note:
- When uploading/attaching a document in Workday, we recommend that you convert it to PDF format for the best user experience.
- Tasks that relate to submitting or approving a timesheet or overtime request are undertaken via myHRonline. This is also where you will find timesheets pre-2020.
Workday is available and accessible to all University staff - this includes continuing staff, casual staff, contingent workers (including contractors) and affiliates.

How do I approve a mid-year review submitted by a staff member?
Once you have had mid-year review discussion and your staff member has submitted their mid-year review plan, you will need to review it in Workday. You can ask up to two other managers to review the plan and you can add your own comments in the comment boxes provided. You can approve the plan or send back to staff to input additional information.
A manager should not make changes to their staff members’ mid-year review. If changes are required, send it back to them to make the amendments. If substantial changes are required, we recommend a further discussion too.
If you have a staff member who recently finished Probation or came back from a long period of leave after the Mid-Year Review was released, they will not have a plan appear in Workday. Staff members can set Individual Goals by following the steps in the How to create and edit Individual Goals (Casual Staff, Post-Probation, Returning from Leave) help article. These goals will appear in their Annual Review.
For a video demonstration of this process, please refer to the video at the end of this help article.
