SydneyFMS (Facility Management System) is a new enterprise-wide platform for booking and managing research facilities, equipment and services.
Researchers will use SydneyFMS to book instruments, digital services and staff engagements at the University's Core Research Facilities and Laboratory Animal Services, as well as research facilities operated by Technical Support Services (TSS), faculties and multi-disciplinary initiatives.
Facilities will transition to SydneyFMS in stages during 2025. Ultimately, SydneyFMS will provide researchers with a single point of visibility and access to facilities across approximately 20 different areas of the University.
Research grant applications must be reviewed and approved by the Research Portfolio prior to submission to the funding agency, including for expressions of interest and non-lead applications. To allow sufficient time for internal compliance and eligibility reviews and for relevant amendment to take place prior to submission, researchers are required to submit an advanced draft of their application (including budget) at least one week prior to the funder’s deadline, otherwise known as the internal hard deadline. Larger schemes, such as the ARC and NHMRC schemes, usually have earlier internal deadlines which are communicated in anticipation of these larger application rounds closer to those times of the year on the Find Funding pages of the intranet.
Submitting a research grant application through our Pipeline and Pre-Award team generally follows the steps listed below. Please note that the process described here is a high-level process outline and may not cover every application process for every scheme in sufficient detail.
This article provides information on accessing and using the online Successful Applications Library (SAL). The Pipeline and Pre-Award team, with the consent of grantees, maintains a library of previously successful grant applications as a valuable resource for drafting and preparing research proposals.
Please note that due to the undertaking we provide to our contributors, the library is only available to University of Sydney staff and affiliates.
This article outlines the steps to take in order to gain access to Research Profiles Management (RPM) to update and/or modify a range of information that is listed on Academic Profile Online (APO).
Non-Traditional Research Outputs (NTROs) that are reported for the annual Sydney Research Collection and periodic ERA submission must have been made available to the public. You need to provide evidence of the year in which your NTRO was published or otherwise made available to the public.
For certain NTRO sub-categories, it may be useful to utilise the 'exhibition title' search function in the IRMA publication module. This article provides basic instructions as to how to search on 'exhibition title' and instances where this might be useful. This example also utilises the Custom GUI function. Please see the separate knowledge base article for how to create a Custom GUI.
This article aims to inform researchers who are interested in working with the Defence Science and Technology Group and the defence industry, as to the additional security requirements for collaborations and internal/external links for more information.
This guide explains how ethics committee members can prepare for a meeting in myResearch Ethics. For a visual guide, watch our tutorial video for an overview of how you can prepare for a meeting.
This guide explains how University staff, affiliates and higher degree research (HDR) students can log in to the myResearch Ethics system.
University staff, affiliates and HDR students will have an account automatically set up. Other students (e.g. Honours) need to complete the access request form to gain access.
All traditional research outputs for the Sydney Research Collection and Excellence in Research for Australia must have undergone a quality control process prior to publication. For books and book chapters we can use the ERA commercial publisher definition. There are several key criteria to demonstrate commercial publisher status and thus many publishing companies will not meet all four criteria and thus not satisfy this definition.
You may only report your research once, generally for the year it was first published or made public. Repeat performances, exhibitions, tours, etc, that did not involve substantial additional research cannot be reported as new research outputs. However, these publications can be added to your Academic Profile online, and documentation of them can be added to the original NTRO record in IRMA.
This article provides a step-by-step guide on how to work on the Project Budgeting Tool (PBT) in OFFLINE mode and how to convert an OFFLINE budget file to ONLINE mode.
No matter how you fund your research – grants, tenders or contract research – the Research Portfolio has specialised teams that can assist you with funding strategy development, application strategy setting and scoping, strategic text review, application eligibility and compliance review, as well as application certification and submission. The Portfolio grant support complements the support provided by your faculty, school, or institute.
This article will provide an example on navigating the Project Budget Tool when budgeting for consultancy services or tender proposals. It is assumed that you have already read the article "Project Budget Tool: A Front-to-Back guide to creating a project budget" and are familiar with the basic functions of the tool.

This article outlines the process of submitting a chair review in myResearch Ethics.
A chair review is a review of a resubmitted application/amendment outside of a meeting. It is a simplified review form and does not permit other reviewers to view your comments. For a visual guide, watch our chaptered tutorial video for an overview of how you can complete your assigned tasks in myResearch Ethics.
If you’ve been assigned a decision, refer to ‘Submit a decision in myResearch Ethics (committee chairs and delegates)’ for detailed instructions. A decision replaces a review in certain workflows.

Two factor authentication (2FA) adds an additional layer of security to our REDCap system. Sydney University users, and Australian Access Federation (AAF) users already have 2FA enabled via their institutional login, our non-institutional users will have to setup and use either Microsoft Authenticator or Google Authenticator.
Please make sure you setup either Microsoft Authenticator or Google Authenticator as the "email" option will be turned off in the future.
