Data Handling Standard - approved applications

University staff, students and affiliates are often entrusted with sensitive information which, if managed incorrectly, could have serious implications for them and/or the University. Whether you are engaged in research, study, or professional services, it is important that you safely and securely handle data according to its classification.

Connect to the University wireless network

Invite and join a Zoom Room to a Teams Meeting

This article outlines the steps to invite an existing Zoom Room to a Teams Meeting when you are not the host.

Note that if the Zoom Room does not automatically create a calendar event for you, you can join the Teams Meeting once you are in the room.

For more information, see instructions for ad-hoc joining a Teams Meeting from a Zoom Room.

NOTE - There are a number of pre-requisites detailed on Zoom's Knowledge Base regarding Teams interoperability. If you are a participant joining a Teams Meeting hosted by another orgaisation, contact them to ensure that the following administative settings have been enabled on on their end.

If these settings have not been enabled, you won't be able to join -

1. 'Anonymous users can join the meeting' - When this setting is on, anyone can join Teams meetings, including Teams users from differing organisations that aren't on your allowed domains list. If anonymous join is turned off in org-wide meeting settings, anonymous users can't join any meetings, regardless of what you set here.

2. 'Anonymous user and dial-in callers can start a meeting' - When this setting is turned on, anonymous users and dial-in callers can start a meeting without someone in attendance. When this setting is off, they must wait in the lobby until someone in your organisation, a guest, or a user from a trusted organization starts the meeting.

Manually request Service Now automated offboarding support tasks

As a line manager with a separating staff member, you can use the information provided here to manually request details of a departing staff members technology and specific knowledge assets (Service Now Group membership/s, Knowledge Based Article and Office 365 list ownership/s).

Please remember that if you have completed a separation for a departing staff member in Workday, this process will commence automatically and there is no need for you to trigger a manual process.

NOTE: This process is intended to support you by providing more information on activities that can be partially automated through Service Now. It does not cover all offboarding activities (e.g. return of access cards, laptop accessories). To review the full set of offboarding activities for departing staff members, please refer to the Leaving the University page on the staff intranet.

Spend Plan App - consults & reviews

The purpose of recording consults & reviews is to create a historical timeline and summary of important activities and outcomes across the spend plan lifecycle.

Consultations refer to the daily interactions and collaboration between colleagues to make progress on the plan.

Reviews are more formal and may include direct subject matter advice / endorsement.

These can be recorded, updated and completed by parties to the spend plan, but will typically be overseen by the Spend Plan Administrator. They are visible in the approval PDF, so their inclusion should be key to inform the authorising delegate’s decision.

Other optional external tools are also available in Canvas, which can provide further functionality. Please click on the link ‘List of External Apps (LTI Tools)’ to see a list of tools approved by the University.
