Eligibility for permanent residency - information for supervisors

As a Supervisor, you may have staff members who are interested in obtaining permanent residency through the University. To be eligible, staff members must meet certain criteria and obtain approval from their direct Supervisor.

Although the staff member may meet the criteria, the University must endorse the application and can decline to sponsor at their discretion.

The Immigration and Relocation Team does not approve requests for permanent residence. The team’s role is to assess the University’s eligibility to nominate the staff member for a permanent residence visa and provide recommendation to the relevant area in accordance with the legislation and University Policy.

Job Change (Transfer)

This guide is for use by Transactional and Client Services (TCS).
 
• This process is used by the University to conduct the following activities:
o Move a person to a different Position
o Managing internal movement of staff between positions (brand new hires have their own process)
o Update a Restricted Field for a given person (C-Level, Business Title, Worker Type, Job Profile, Company, Pay Rate Type), in which case a new / other Position is required with those values and this process (Job Change Transfer) is used to move the person into that new / other Position
• Before a move can start there must be an available Position.
• All movements of Workers within the University must comply with the Enterprise Agreement and/or other University policies, such as the Recruitment and Appointment Policy, Secondment Policy and Workforce Engagements and Payments Policy (for contingent workers).
o A Job Requisition is required to transfer a Worker from one Position to another Position.
o Transaction and Client Services will initiate the Job Change process for movement of a Worker into a new position once the Worker is ready for hire.

How do new staff get access to University systems?

Provisioning of staff access to University systems automatically happens once the new staff member has submitted necessary documents to HR.

How to interpret the Work Classification and Paycode Guidelines for Casual Academic Staff

The Work classification and paycode guidelines for casual academic staff (Paycode guidelines) have been created to support compliant and consistent practice in how the University engages and pays casual academic staff across every faculty and University school.   

The paycode guidelines provide clearer and more detailed information for the classification of casual academic teaching and learning activities in accordance with the Enterprise Agreement.   

They are a supplementary document to the Enterprise Agreement, to provide direction to all staff at the University on how to apply Schedule 1 of the Enterprise Agreement.

Meal Allowances

Meal allowances

A meal allowance is payable when a staff member takes an unpaid meal break of at least 30 minutes during overtime.

Who this applies to:

· All Professional staff working under Schedule 4 of the Enterprise Agreement (EA)

· All English Language Teachers working under Schedule 5 of EA

· All Farm staff working under Schedule 7 staff of the EA

End Fixed Term Contract in Workday

The End Fixed Term Contract task is used by the University to end its employment relationship with a fixed term staff. The End Fixed Term Contract Separation should only be used to separate a fixed term staff on the actual “end of fixed term contract”. Managers or manager supports (Security Role) can initiate the End Fixed Term Contract Separation process. TCS may also initiate the End Fixed Term Separation process as a backup.
 

Important Note

Secondments:: Managers do not need to perform any actions in Workday to end a secondment in line with the initial agreed end date. A conversation between the substantive and secondment managers regarding the staff members transitional arrangements back to the substantive role is recommended.

How to apply for Jury Duty or other Community Service Leave in Workday

This process is to assist you in booking leave for Community Service Leave in Workday, which includes Jury Duty, Defence Leave and Emergency Services Leave. 

Please refer to the Leave Policy 2021 for further details on Community Service leave.   

If you have been summoned to attend court for Jury Duty, you can record this leave in Workday. 

Please note: 

  •  To be entitled to paid leave, you must refund your jury duty fee to the University. If you want to keep your jury duty fee, you will need to apply for leave without pay

The manager dashboard will populate with data as you and your staff complete Performance and Development. The landing page will provide a high-level overview of your team’s goals, performance reviews and probationary reviews.

Selection committee interview process

This guide is for use by the Selection Committee to guide their tasks during the recruitment process.
