Information about the exit survey

The purpose of the exit survey is to assist the University to identify organisational and workplace issues, explore alternative working arrangements, improve work and management practices and develop strategies to retain staff.

How is access to HR systems monitored?

Access to different systems across the University is dependent on UniKey access. If a staff member is no longer working at the University, the HR system will communicate this information to the ICT system, and access to the UniKey will be terminated, resulting in access to different systems will be stopped.

Supporting information packs are available for the implementation of the University guidelines for work allocation and timesheets - for professional staff. There is a general pack for all staff and a pack outlining responsibilities for leaders in faculties, schools and professional service units.

How to access OTA to view work schedule and profile (casual academics)

This help article details the process for casual academics to access the Online Teaching Allocations portal to view their work schedule via My Work, as well as their personal information via My Profile. 

Casual academics should stay aware of their work schedule by regularly viewing via the OTA portal. 

Can a probation period be approved or ended early?

It is generally not advised that a staff member’s probation period be ended earlier than the specified timeframe, as probation allows for both the staff member and the supervisor to understand the requirements of the role, and for the staff member to demonstrate they can meet those requirements.

What should I do if my contract details are incorrect?

Contract details cannot be changed without legal ramifications except for typing errors, outdated personal details, or the remuneration details are not consistent with the verbal offer.

Contract details can be found in Workday by navigating to your Profile, and selecting the Job tab.

When is annual leave loading paid?

An annual leave loading payment is made to all eligible staff (excluding casual staff) in December each year. The annual leave loading payment is also made on the date of any final termination payment.

The University is committed to the development of all staff and provides a range of leave options to assist you in developing your career and managing your work responsibilities.

Change job data in Workday

This process is used when the University wants to update the details of a staff or position, and that person should remain in that same position after the change is made.

Check my leave balance

You can view your current University leave entitlements, including annual leave and long service leave, via the Workday platform.

Can changes be made to unsubmitted timesheets prior to the deadline?

If a timesheet has been created, and not yet submitted prior to the cut-off time, (12.00pm on the Friday before payday), you are able to make changes to the timesheet prior to submission.

What happens if I miss the deadline for timesheet submissions?

The deadline for timesheet submission is 4pm on the Thursday before the payday.

If you miss submitting your timesheet by this deadline, your timesheet will not be processed in the pay run. It will instead be processed in the next pay cycle.

What is the Employee Assistance Program (EAP)?

The Employee Assistance Program (EAP) is provided by Benestar. The service offered are professional, confidential counselling, coaching and support which is free for you and your immediate family members.

What is a trial period when I get redeployed?

A staff member may be redeployed to a position with a trial period of up to six months if the selection panel find they could bridge any gap of knowledge or skill with reasonable training or retraining within a trial period. Training plans to support staff bridging any identified gap will be documented at commencement and monitored during the trial period.

How to approve leave in Workday for staff on Secondment

This guide is for use by Managers and staff members with Manager Support security access to approve leave for staff members who are working in a Seconded Position. 

It is the responsibility of the Primary Manager to approve all leave requests in Workday.  

In the case that a staff member is applying for a period of leave, including dates where the staff member will have returned to their substantive role, the staff member is required to obtain offline approval from the substantive supervisor and attach this to the leave request when applying for the leave in Workday.
