How do I apply for Compassionate leave in Workday

Compassionate Leave is paid leave which can be used in the event of the death or serious illness of a member of your immediate family, household or kinship group. Compassionate leave may also be taken following the stillbirth or death of your infant.

A manager may also approve compassionate leave applications for the death or serious illness of other individuals on a case by case basis.

 

Who do I speak to about creating a new role?

When beginning to plan the creation of a new position in your team, it is important to have a conversation with both your Finance Manager and HR Partner.

The initial discussion with your Finance Manager is needed to determine whether there is scope within the budget to create a position in your area.

Who is listed as my AP&D supervisor for the confirmation process?

If you are an Academic on a continuing appointment and are going through the confirmation process, your annual confirmation and end of confirmation reviews will need to be approved by your AP&D supervisor (who may not be the same as your usual supervisor) and the relevant appointed delegate.

Manage new hire onboarding in Workday

The onboarding process commences when the candidate has completed the recruitment process and the HR Transactional and Client Services team finalise the hire in Workday.  

As part of the onboarding process, the manager is able to send in Workday a personalised welcome message to the new hire and a list of key contacts for the team they will work in.

In addition to completing onboarding preparation tasks in Workday, a checklist will be sent to the manager/manager Support with offline tasks to plan and complete in readiness for their new hire’s first day

Update my legal name in Workday

You can update your legal name via the Workday platform.

If you wish to update your preferred name, please follow the steps outlined in the Update my preferred name and salutation in Workday help article.

Changes to legal or preferred names will automatically integrate to other University systems. Evidence will be required for legal name changes, however no evidence is required for change of gender.

Witness leave

If you are required to attend a court or tribunal hearing as a witness you will be regarded as being on duty during your period of absence if:

  • required as a witness for the University;
  • the hearing relates to a University award or agreement; or
  • the hearing relates to proceedings initiated under clause 555(d) in the Enterprise Agreement in relation to your employment.

You are not entitled to any witness fees for these matters.

Close Positions for hiring in Workday

Managers and manager supports can initiate the Close Position process on an ad-hoc basis. This can be done on for unfilled positions.

This process permanently makes positions unavailable for hiring. Once the position is closed, the same position cannot be opened again.

What happens if my timesheet is not approved?

This article relates to the process in place in the circumstance that a timesheet has not been approved by the nominated timesheet approver. This is NOT the process that is in place if a timesheet has been rejected by the nominated timesheet approver.

If a timesheet has not been approved by the nominated timesheet approver, the Payroll Team is informed, and they will take action to follow up with managers / supervisors in relation to the status of the timesheet. Managers / Supervisors will then act on outstanding tasks to approve the timesheet.

How do I view my learning history?

Use this process to locate the transcript of the courses youhave completed, started but not yet finished and/or not started.

The Learning History table is a transcript of course completion and can be used as evidence in place of a certificate.

If you are missing a course from your transcript, please raise a ticket through Service Now.

How do I enroll and launch a digital course?

Use this process to complete the enrollment and start a digital course.
