Opting out of lecture recordings at the University

Lectures and seminars scheduled in rooms equipped with recording capability will automatically be recorded and the recordings will be added to the unit of study website on the LMS unless an opt-out has been authorised.

Staff who wish to opt out of having their lectures automatically recorded need to seek approval from their Dean or, in some instances, their Head of School.

How to order a service or consumable in SydneyFMS

SydneyFMS (Facility Management System) is a new enterprise-wide platform for booking and managing research facilities, equipment and services.

Researchers will use SydneyFMS to book instruments, digital services and staff engagements at the University's Core Research Facilities and Laboratory Animal Services, as well as research facilities operated by Technical Support Services (TSS), faculties and multi-disciplinary initiatives.

Facilities will transition to SydneyFMS in stages during 2025. Ultimately, SydneyFMS will provide researchers with a single point of visibility and access to facilities across approximately 20 different areas of the University.

ServiceNow Upgrade - User Acceptance Testing

User Acceptance Testing within ServiceNow is a critical activity performed by all areas that use ServiceNow platform to enable their business process.

User acceptance testing (UAT) consists of a process of verifying that a solution works for the user. It is not system testing (ensuring software does not crash and meets documented requirements), but rather ensures that the solution will work for the user (i.e., tests that the user accepts the solution).

This testing should be undertaken by a subject matter expert (SME), preferably the owner or client of the solution under test, and provide a summary of the findings for confirmation to proceed after trial or review. In software development, UAT is one of the final stages of a project often occurs before a client or customer accepts the new system. Users of the system perform tests in line with what would occur in real-life scenarios

The UAT acts as a final verification of the required business functionality and proper functioning of the system, emulating real-world conditions. If the software works as required and without issues during normal use, one can reasonably extrapolate the same level of stability in production.

UAT should be executed against test scenarios.Test scenarios usually differ from System or Functional test cases in that they represent the user's journey. The broad nature of the test scenario ensures that the focus is on the journey and not on technical or system-specific details, staying away from 'click-by-click' test steps to allow for a variance in users' behaviour.

What is a UniKey account?

Your UniKey credentials grant you access to online services such as email and the staff intranet. All staff (including contractors) and some affiliates are automatically given a UniKey when they are registered in the HR (Human Resources) system, and students are automatically given a UniKey when they enrol.

UniKeys for consultants and suppliers will need to be requested manually by their supervisor, unless they are registered officially in the HR system, which will automatically create a UniKey.

Virtualised Computer Labs (Azure Labs)

Azure Labs is a Microsoft platform that allows academics to create and manage virtualised Computer Labs for teaching courses where physical labs do not meet the special needs of the course.

Use Cases

  • Linux machines required rather than Windows.
  • Courses that require machines that have higher performance than standard lab machines.
  • Courses that require long running simulations to operate without interruption.
  • Students need to access machines anytime, anywhere, any location.
  • Situations where specialist machines are required for short period, e.g. hours or days.

Features

  • Windows and Linux machines available.
  • Machines from 2vCPU / 4Gb RAM -> 6vCPU / 112Gb RAM.
  • GPU machines also available.
  • Simple to use, no special cloud skills required.
  • Managed end-to-end by academics, i.e. can create labs, install software, deploy to students, view usage etc.
  • Create custom templates to streamline setup of new courses.
  • Scalable, can create labs with 100’s of machines if required.

Shift Worker / Day Worker Guidelines

For engagement of continuing, fixed term or casual professional staff as shift workers and day workers

To increase awareness of the Enterprise Agreement requirements around engagement of professional staff as shift workers and day workers, the following guidelines have been summarised for managers and staff.

Please review and put these guidelines into practice as soon as possible so that we can work together to implement consistent and effective practices across the University to ensure we meet our obligations.

Ketch Cloud Inc. (Cookie Consent Management System)- Pilot Implementation Phase

What is the Cookie Consent Management System - Pilot Implementation Phase?
The implementation phase is part of a broader Web Uplift project led by Marketing and Communications in partnership with several ICT teams. The pilot implementation phase only focusses on the delivery of the Ketch cookie banner to five specific websites.

The pilot implementation aimed to:

1. Achieve regulatory compliance with both current international and forthcoming national privacy laws.

2. Establish a repeatable implementation pattern for future enterprise solution across all University digital platforms.

3. Strengthen digital governance and reduce the University's privacy-related risk profile.

4. Leverage insights from this pilot to inform future decisions regarding enterprise-wide solution design and support models.

The implementation of Ketch's solution positions the University as proactive and responsible in managing digital data and privacy rights.

What is Ketch?
The University of Sydney has selected Ketch Kloud Inc. as the vendor to provide cookie consent banners to pop-up when users visit University web pages.
Okta MFA has been integrated with the Ketch solution. This means that users will continue to use their unikey to be authenticated prior to entering web pages that have a cookie banner pop-up.

What has changed?
A cookie banner (i.e. a pop-up message asking user for their cookie acceptance) will appear when a user enters one of the five University web pages with the Ketch solution added (refer to Table 1)

Background on changes

  • As part of a broader Cookie Consent Management Pilot led by Marketing and Communications team and in partnership

Get cloud resources for education

See a list of cloud computing resources that may be useful to students and educators at the university. Many of these resources are provided free of charge for students and staff.

The primary goals of the directory is to raise awareness among staff and students of the range of resources that are available for trials / experimentation with emerging technology.

Note:

  • It is important that you read the terms and conditions associated with the resource. Some have limits on free usage and will incur charges if you exceed those limits. If you need to provide your credit card number to resister for the resource there is a strong chance that there are excess usage charges applicable.
  • No University data is to be stored on these platforms, e.g. names, addresses, email, etc. Typically, there are no back-ups and the University is not responsible for any data breach.
  • These resources are to be used for short term trials / sandbox  / learning activities only. They are not to be used as long term solutions.
  • Do not use your University credential to access these platforms, i.e. University email / password. You should set up a separate email account; something like a non-University email account e.g. @gmail.com, @outlook.com, etc.
  • Make sure your local PC is secure, i.e. operating system and virus software is up-to-date.
  • If you need to supply credit card details, University corporate cards should NOT be used.
  • These resources have not been reviewed by the University's central Information and Communications Technology Unit and are not supported by that Unit.
  • At the end of the trial, make sure you delete all data and close your account.
